OIT Systems Maintenance, Thurs. March 21 from 12:01AM to 7:00AM

Office of Information Technology will be performing routine systems maintenance which includes but is not limited to rebooting Windows servers as deemed necessary, installing critical patches and other health checks on Thursday, 03/21/2024 from 12:01 AM to 7:00 AM during OIT maintenance window. In addition, the following systems will be specifically impacted:


Email Notification Enhancements
Description of change: OIT will be enabling additional features for Outlook users on Wednesday March 20th which will provide regular updates about any messages currently in quarantine and alert users to suspicious elements in emails or when a person contacts for the first time.

Affected services: Exchange Online email
End-user impact: These changes should have no disruptive end user impact, but end users will begin seeing new stuff. In particular regular quarantine messages if they receive email that becomes quarantined, and a header at the top of messages from senders they don’t usually receive emails from.


Server Maintenance
Description of change: OIT will be performing server maintenance on March 21st between 12:00AM and 2:00AM potentially affecting: Owl Admin Pages, Owl KPIs, Admin Programs, Directory and Egrades

Server Maintenance
Description of change: OIT will be performing server maintenance on several core systems from 12:00am to 4:00am on March 21st, 2024. During this time, the undergraduate application, MyOwl Services, Owl KPIs, and Owl Files will be unavailable.

Server Maintenance
Description of change: OIT will be performing maintenance on the email system from 12:00 a.m. until 1:00 a.m. on March 21th. During this time access to assessment.fau.edu, crosswalk.fau.edu, grademan.fau.edu, ServiceAwards.fau.edu, SoftLic.fau.edu ,techfee.fau.edu, transient.fau.edu, and wconline will me unavailable.

Testing Scores Classic Learning Test (CLT) File Layout Modification
Description of change: The test score file layout for the Classic Learning Test (CLT) integration will be modified to include a new field and imported into Banner.

Network Maintenance – All Campuses 12:00 a.m. until 3:00 a.m.

OIT will be performing network maintenance affecting all campuses from 12:00 a.m. until 3:00 a.m. on Friday March 15th. During this maintenance, short disruptions of connectivity to and from the internet and to campus technology resources will occur.

Printing services have been restored.

In addition, the following systems will be specifically impacted:


Printing services maintenance
Description of change: OIT will be upgrading printing services used in the computer labs, library, and web printing on Thursday, March 14th, between the hours of 4AM and 7AM.
Downtime window start: 03/14/2024 4:00 AM
Downtime window end: 03/14/2024 7:00 AM
Affected services: Pay for print including fauprint.fau.edu.
End-user impact: Printing services in the labs, library, and fauprint.fau.edu will be intermittently unavailable during this upgrade.


Updating the URL on the “Pay Your Deposit Now”
Description of change: OIT will be updating the URL on the “Pay Your Deposit” button to navigate the students to Touchnet.

BHRIC Server Maintenance
Description of change: Research computing will be performing server maintenance on BHRIC servers
Downtime window start: 03/12/2024 11:00 PM
Downtime window end: 03/13/2024 6:00 AM
Affected services: During this time the following will be impacted:
*BHRIC sftp services, Redcap storage, Redcap Services, COS-Anzures-filemaker
End-user impact: During this time the following will be impacted:
*BHRIC sftp services – very light impact
*Redcap storage (no reports can be saved or downloaded during this time)
*Redcap Services impacts only 2 or 3 users (this is for external services that redcap uses like some reporting modules)
*** Note Redcap will still be available during this change, users can still fill out forms and surveys as the database is not impacted
*COS-Anzures-filemaker is for one faculty member and a few students and will be offline during this time


Research Computing BHRIC Server maintenance
Description of change: Research computing will be performing server maintenance on BHRIC VMM
Downtime window start: 03/13/2024 9:00 PM
Downtime window end: 03/14/2024 5:00 AM
Affected services: Research VMM2 will be offline during this time , so College IT admins will not be able to make any changes in BHRIC hyper-v
End-user impact: Only impacts College IT Admins with machines in BHRIC hyper-v

In addition, the following systems will be specifically impacted:


Network Maintenance – Banner Services
Description of change: OIT will be performing network maintenance affecting a network utilized for Banner services from 7:00 a.m. until 8:00 a.m. on Thursday February 7th. During this time it i possible that Banner services may experience momentary disruptions.

Affected services: Web Pub Secure network
End-user impact: We expect minor end user impact if any. While it is possible that there will not be disruption to services, we are anticipating potential momentary losses of connectivity for the Web Pub Secure network in Boca Raton housing the banner backend servers and some other internal web services


Microsoft 365 sync update
Description of change: OIT will be updating the system involved in Microsoft 365 account sync

Identity and Access Management Maintenance
Description of change: OIT will be performing standard maintenance on our Identity and Access Management system from 5am to 6am.

Downtime window end: 03/07/2024 6:00 AM
Affected services: User groups population from Banner, Workday, and other data sources. Provisioning LDAP groups. Provisioning Active Directory groups (limited affect)
End-user impact: User groups may be delayed after the update but this will be monitored and syncs started as needed.


Server Maintenance
Description of change: OIT will be upgrading our load balancer appliances to newer versions.

Downtime window end: 03/07/2024 7:00 AM
Affected services: This will impact all services currently being handled by the load balancer from www.fau.edu, banner, talon, OnBase, lmsapps, and other services.
The impact should be a blip as the services fail over to the other load balancer.
End-user impact: Faculty, staff, students, departments, all of FAU.


ODS and Data Warehouse maintenance
Description of change: OIT will be performing maintenance on ODS and the Data Warehouse from 4:00 a.m. until 6:00 a.m..

Microsoft 365 Access Changes
Description of change: OIT will be implementing security policy changes on Friday March 8th from 12:00 a.m. until 3:00 a.m. affecting our Microsoft 365 services. Following the changes, certain access restrictions will be brought inline with existing policies covering FAU campuses.

Downtime window end: 03/08/2024 3:00 AM
Affected services: Microsoft 365 services – Outlook, Office Online, Onedrive, Sharepoint, Teams, etc.
End-user impact: Access to Microsoft 365 services may be disrupted at points during the maintenance. According to our records, 17 accounts have used one of the blocked categories to access M365 in the past 30 days. However, those users are unable to access SSO currently so we do not anticipate any widespread issues. Once the changes are in place, a user that was able to get an access token while on a non-prohibited network will not be able to use those tokens on the prohibited networks.
