OIT Systems Maintenance

Office of Information Technology will be performing routine systems maintenance which includes but is not limited to rebooting Windows servers as deemed necessary, installing critical patches and other health checks on Thur 7/24/2025 from 3:00AM to 8:00 AM during OIT maintenance window. In addition, the following systems will be specifically impacted:

  1. Server Maintenance
    • Description: OIT will be performing server maintenance.
    • Date and Time: July 24, 2025, from 4:00 AM to 4:30 AM.
    • Impacted Services: assessment.fau.edu, crosswalk.fau.edu, grademan.fau.edu, SoftLic.fau.edu, techfee.fau.edu, transient.fau.edu, iss.fau.edu.
    • End User Impact: No end user impact is expected as these are incremental security updates.
  2. TLS Certificate Replacements for VPN
    • Description: OIT will be replacing the TLS certificates used for VPN services.
    • Date and Time: July 24, 2025, from 7:00 AM to 8:00 AM.
    • Impacted Services: VPN and HTTPS web services.
    • End User Impact: No end user impact is expected. There is a small chance that a user’s connection will drop if they are logging into the VPN at the moment the certificate is replaced.
  3. Update to Civics Literacy Process
    • Description: Update to Civics Literacy Process.
    • Date and Time: July 24, 2025, from 3:00 AM to 8:00 AM.
    • Impacted Services: Banner.
    • End User Impact: Students may be affected

  1. Jupiter Campus System Migrations
    • Description: Systems will be migrating several resources from older hardware to newer hardware. Some network services may be temporarily impacted during the change window.
    • Start Time: July 17, 2025, 04:00 AM
    • End Time: July 17, 2025, 06:00 AM
    • Impacted Services: DNS and DHCP
    • End User Impact: All on-campus members of the Jupiter community will experience brief DNS and DHCP outages during the migrations.
  2. PaperCut Database Migration
    • Description: Migrating the database for the Papercut service to a new SQL Server environment to improve reliability, performance, and align with current infrastructure.
    • Start Time: July 18, 2025, 07:00 AM
    • End Time: July 18, 2025, 08:00 AM
    • Impacted Services: Papercut
    • End User Impact: A brief interruption to printing services may occur during the database migration.
  3. Slate – New Import to Reflect DR Holds
    • Description: New import to reflect DR holds.
    • Start Time: July 17, 2025, 07:00 AM

    • Impacted Services: Slate
    • End User Impact: Staff and Students
  4. Owl Files and Transcript Request Grails Upgrade
    • Description: Upgrade Owlfiles and Transcript Request framework to the latest version to be up to date with new features and security updates.

    • End Time: July 16, 2025, 11:00 PM
    • Impacted Services: Owlfiles and Transcript Request
    • End User Impact: Staff and Students
  5. Slate – Special Consideration Flags for Profile Admits
    • Description: Slate integration updates.

    • Impacted Services: Slate will be available during this upgrade.
    • End User Impact: No user impact
  6. SQL to Update Students Records Interest Codes
    • Description: Updates student records interest codes loaded from common app to correct records that should not have PH indicator.

  7. Server Maintenance
    • Description: OIT will be performing server maintenance from 10:00 PM until 12:00 AM on Wednesday, July 16th. During this time, the undergraduate application, MyOwl Services, Owl KPIs, Owl Docs, Non-Degree Application, and Egrades may be down intermittently. Uachieve will be unavailable.

TeamDynamix- Technician Reports Unable to edit or Create

TeamDynamix is currently investigating Work Management issues with report creation and editing existing reports. Some technicians are currently receiving a Permission error when trying to Create or Edit existing reports.

OIT will monitor the status from TeamDynamix and will post updates as we receive information.

Frevvo Authenticated Forms Currently Unavailable

Disable Otter.AI in Microsoft Tenant

  • Description: OIT will be disabling access to Otter.AI from the FAU Microsoft 365 environment on July 9th, 2025.

  • End Time of Change: Wed 7/9/25 7:00 AM
  • Impacted Services: N/A – no university-provided services are affected
  • End user impact: Users that had been using Otter.AI to take notes in teams meetings will need to utilize a different product or utilize the built-in features in teams.

Network Maintenance – All Campuses Saturday July 12th from 12:00 a.m. until 3:00 a.m.

  • Description: OIT will be performing network maintenance affecting all campuses from 12:00 a.m. until 3:00 a.m. on Saturday July 12th. During this time, all FAU campuses will experience short outages impacting connectivity to services and the internet.
  • Start Time for Change: Sat 7/12/25 12:00 AM
  • End Time of Change: Sat 7/12/25 3:00 AM
  • Impacted Services: All services will be impacted briefly. Some services that do not handle network disruptions may need to be restarted such as Appworx.
  • End user impact: All campuses will experience brief outages during the maintenance window affecting connectivity to all services.

Banner Maintenance

  • Description: OIT will be performing maintenance on Banner from 12:00 a.m. until 7:00 a.m. on Thur. 10 July. Banner will not be available during this time.

    • Description: We are upgrading our incoming email servers.

    • End User Impact: Incoming email flow may be affected as 365 mail servers use different spam detection technology than fortimails. Outgoing email flow may be affected as new SMTP server will use different mail delivery technology than fortimails.
  2. Research Computing AI – OwlChat WebUI
    • Description: The Research Computing AI – OwlChat WebUI service will be offline from 5 am to 7 am on June 26, 2025 for scheduled maintenance. This will prevent researchers, students, and employees from utilizing custom large language models based on the OwlChat WebUI service ([https://chat.hpc.fau.edu](https://chat.hpc.fau.edu)).
